Enquiry information for assessment reports

The following information provides a comprehensive overview of the different types of assessment reports, processes and fees and aims to answer frequently asked questions. Our therapists manage enquiries, assessment and direct therapy therefore responses to enquiries may vary based on our capacity. Whilst we aim to get in touch within 2 business days, times may be longer during high-volume request periods. Whilst we appreciate that the following information is detailed, we have aimed to try and provide as much information as possible including all of our frequently asked questions, this allows us to provide more capacity for assessment and direct support.

What do assessment reports include?

All of our assessment reports include the following*

  • Indirect methods of assessment include caregiver telephone interviews and questionnaires to either school or home (or both)
  • Direct assessment can be up to 3 hours on the day or up to 2 hours if seen in clinic
  • Direct assessment may include both standardised and non-standardised assessment methods. This is based on the child's needs and whether standardised assessment is appropriate for your child
  • A report will follow the direct assessment 
  • Following receipt of the direct assessment you will be offered a post assessment telephone call with your therapist where you can ask the therapist questions or go through the report

What does an assessment report cover?

Our reports are Occupational Therapy reports. We use our sensory integration lens to apply this throughout the report because everything that we do is informed by our sensory system. Our reports can cover :

  • Sensory processing differences/difficulties

  • Motor planning (praxis)
  • Posture and stability

Report suitable for use at a tribunal inclusive of court compliance formatting. This will include: all standard report information with the addition of critical analysis, conclusion, in text referencing to support evidence, reference list, appendices, report is detailed yet concise and recommendations are structured for EHCP contribution (needs, provision, outcome – inclusive of hours required and any required input for section i)


For tribunal work any additional hours requested are charged at a tribunal hourly rate. The above is not inclusive of tribunal day attendance

Where do we assess?

We can assess at the child's educational setting, at the childs residential setting, or in our clinic. We have a Sensory integration clinic in Doncaster and we hire a space in Crantock, Cornwall. There are some things to factor in when you book an appointment with us around where you would like us to assess: 

  • We run clinic slots in Doncaster and Crantock on typically once a month. These can be booked online via our online booking link on our website. Other times may also be available throughout the week depending on availability. 
  • Clinic allows us to see the child in a controlled environment, meaning that we know we can guarantee no interruptions and the space is guaranteed and large enough for movement activities. We are also able to have more equipment readily available to support the assessment.
  • It may be beneficial to see the child at the school where perhaps the child is experiencing difficulties at school and may need the OT to look at the environment to make recommendations. This is particuarly true if for an EHCP report or tribunal where the referral is to inform a suitable education provision. 
  • Travel and mileage apply to any assessment whereby the therapist has to travel outside of a 15 minute travel time of our office location.

What is the process for the assessment.

  1. Either book online or via email or phone call
  2. Once you make payment a date for the direct assessment will be agreed or booked if via online booking. If booking is via email please allow up to 2 business days for the therapist to be in touch to arrange a date.
  3. We will send you a consent form and any questionnaires to relevant parties. 
  4. The therapist will book in the initial parent/guardian telephone call
  5. The direct assessment will take place
  6. We aim to get the finalised report to you within 3 weeks term time of the assessment, providing no annual leave or staff absense is within that time and providing we have received all our paperwork back e.g. questionnaires
  7. Once you have received your report the therapist will offer a post assessment telephone call to answer any queries

What will happen during an assessment?

The therapist will either visit you or you will come to the therapist. The therapist will have already reviewed any indirect information and will have an idea of how best to structure the assessment. Each assessment will look different depending on the childs needs and to support the child to feel at ease. It may include:

  • 'Settling into the session' such as discussing the child interests and strengths. It may also involve an interests based activity to help the child feel comfortable and confident
  • The therapist may have brought additonal items such as a gym/peanut ball, small fine motor activities or sensory items and games. Where able these will be adapted to meet your childs needs by incorporating interests or by using a play based approach
  • The therapist may also bring any standardised assessments - these will be discussed prior to the assessment
  • If you visit us in the Doncaster clinic there may also be larger sensory integration equipment available such as swings or mini trampolines
  • We always recommend for your child to bring whatever items they need to feel comfortable and regulated - this can include teddies, a handheld gaming device, ear defenders, fidgets etc.
  • We do not use any desensitisation approaches such as trying to get a child to touch a tactile object when we know they are likeley to find this distressing. Our assessments are all child led in terms of exploring sensory input
  • Your child is free to talk about whatever they would like to talk about, we wont ever cut a child off for talking about their special interests
  • You can stay with your child for the duration of the assessment - we do advise that you try to keep numbers as low as possible as this can affect the assessment eg smaller siblings also attending
  • Your child can leave anytime they need to and they are welcome to take breaks when needed
  • We advise you to bring a drink for your child and also for your child to wear comfy clothes due to movement activities
  • The assessment can last up to 3 hours. This is typically around 2 hours in clinic
  • We wont ask your child to write if they find this stressful
  • You will receive clinic information prior to the appointment and you can also request an accessible information guide to assessment for your child. 

Travel and Mileage

We charge travel time per hour (around two thirds of a clinical appointment hourly rate) and 0.55p per mile if the destination is outside of a 15-minute travel time of our office postcodes. This is due to our capacity as a team and the costs of travelling. 

Frequently Asked Questions

All of our OTs are HCPC registered which means they have passed an OT undergraduate or postgraduate degree in Occupational Therapy. In addition our OTs have studied Sensory integration at a postgraduate level.  Each therapist has completed further training and has their own clinical experience. You can read more about our OT's on our 'Meet the team' section of our website.


In our clinic locations, client's education settings or residential settings.


For assessment currently we do not hold wait lists. We are generally able to pick up the indirect/telephone aspects within a week and the direct assessment within 4 weeks (often sooner). On average an assessment report is completed within 3 - 9 term time weeks from the point of booking.

As a company we are passionate about staying up to date with the latest advice and guidance, CPD and training - particularly on SEND law and report writing. We take great pride in our report writing and ensure that reports are as concise and thorough as possible with the aim of you not needing to go to tribunal. This means we make sure everything is specific, quantified with evidence entwined throughout. It is detailed yet concise. We are of course able to attend if needed and all our OTs have completed expert witness report writing and SEND tribunal training through SEND law solicitors and SEND advocacy companies. 


This is dependent on location and therapist availability. Typically we have more availability in clinic, although this may fluctuate at different times of the year. 


If the report has been completed by a registered and trained professional (e.g. an OT) with relevant clinical experience then it is unlawful for the local authority to reject this based on the fact it is a private report. This is because all Occupational Therapists are bound by the same code of conduct and professional standards and ethics (HCPC and RCOT) regardless of where they work or who they are funded by. Ultimately our duty is to the child, young person, adult (client/patient) and SEND law also backs this up. 


We work with many children who are autistic with a PDA profile or 'demand avoidant traits', in fact as a company most of our approaches, therapist learning and company ethos have been informed by and evolved to where we are today because of providing support to these children. We have developed a natural play-based, child-led, very low-demand and extremely creative way of assessing and supporting children because of our interactions with autistic/PDA children. 


We will work with the parent/caregiver before the direct assessment to create a clear plan of how your child will be assessed. We can also provide accessible information about the therapist, assessment day and setting. 


As registered health care professionals we aren't able to provide treatment without assessment. OTs follow an OT process and assessment needs to be completed before treatment. Without assessment, we can't determine your childs needs. 


We focus on the childs strengths, challenges and needs and goals, using ND-affirming language and approaches already discussed. Being strengths-based doesn't mean we don't highlight the needs and challenges the child experiences, it means we provide the evidence in a respectful and supportive manner. Our recommendations focus on support, accommodations and the environment. We believe highlighting difficulties the child experiences means their needs can be met. 


'Sensory processing disorder' is not a recognised diagnosis in the UK. It is not recognised as a stand-alone diagnosis within the 'Diagnostic and Statistical Manual of Mental Disorders; DSM-5' however diagnoses such as autism are often reliant on sensory assessment report findings or 'sensory processing difficulties' to contribute to the diagnosis. 


We advise against choosing one of the other reports for the purpose of submission for an EHCP or tribunal evidence. This is because the other report formats are not EHCP or court-compliant. An example is that 'Option 2' provides recommendations, however, they aren't structured against the EHCP format. This is where option 3 or 4 would be better suited depending on circumstances as it fits the EHCP criteria. The additional cost of option 3 and 4 is reflective of the additional work required to produce the report. We offer options 1 and 2 as a lower cost option as some clients don't need a report for an EHCP or tribunal evidence.


This is always dependent on our current capacity however when able we are happy to travel up to 2 hours one way (4 hour round trip). 


0-25 years, although most of our therapists have experience across the lifespan. 


Yes - although this may mean that you may not be seen as soon, for example, if you choose a therapist who has less capacity than one of our other therapists. Our therapists are all trained to a postgraduate level of SI. Our therapists hold individually unique clinical experience so we understand that there may be a preference. All of our therapists have completed Bond Solon 'excellence in report writing' live training for expert witnesses. In addition, we have completed various webinar-based training on SEND tribunal training for professionals through solicitor firms and SEND advocacy companies. We also follow guidance and key issues on our social media platform and are confident in the SEND code of practice. 


You can pay either by online card payment via our booking system, by bank transfer via quote/invoice or via card payment link on invoice. We require payment in advance for assessments to secure booking.

Many of the children we see show signs of masking/camouflaging and fawning. We are experienced in how this presents in children, particularly when compared against their sensory profile and caregiver/child reporting and historical information. If you think your child may be masking at school and you would like us to assess outside of clinic we sometimes recommend a home and school assessment or home and clinic appointment. If your child is currently not attending school/education at home a clinic appointment is typically suitable. Please get in touch if you are unsure.


This is down to the parental/caregiver/young persons decision as to whether they want to apply for an EHCP and the local authority will make a decision once the caregiver/young person has applied. An EHCP can provide specialist equipment, a specific education environment, professional or educational support, therapy or accommodations due to the child or young person having a disability or suspected disability. This includes neurodivergent children. An EHCP can be issued for children aged 0-25. Many of our queries relate to EHCP advice or information.
